Expenditure
Once the award has been formally accepted by the University, a Research Grant Acceptance Form has been submitted, and ethics approvals have been obtained, the Office of Research and Innovation will arrange for a Project to be opened on Finance, and for all necessary invoicing to occur. ORI will notify the first named CI, and the School, once the Project has been opened.

The first named CI will need to liaise with school administrative staff to arrange access to the funds. The first named CI, along with the School, is responsible for managing the expenditure.

All expenditure must comply with the terms and conditions of award. For instance, many funding agencies may not permit expenditure on certain items. Such restrictions will be outlined in the funding rules and other such documentation provided by the funding agency at the time of application and/or in the letter of offer or agreement. It should also be noted that while many, but not all, awards contain a “one-line� budget, such restrictions may still apply. It is therefore important that the CI or the School contact ORI if there is any uncertainty over what the funds can be expended upon.

In instances where there is a requirement to vary expenditure from what is outlined in the agreement or similar, ORI should be approached with a view to obtaining necessary approval from the funding agency. ORI should also be consulted where funds need to be carried over from one year to the next. This is especially important where there may be a need to access the funds after the agreed end date of the award. As required, ORI can request from the funding agency approval to extend the end date of the award.
